Improve Accounting Sync Mapping for 3rd Party Gift Card Activations
We are requesting an enhancement to Clover’s Accounting Sync functionality to address how third-party gift card activations, such as eCard Systems, are reported and mapped to QuickBooks Online. Currently, only Clover-branded gift card activations are included in the “Gift Card Activations” field and can be mapped to a liability account in QuickBooks.
However, third-party gift card activations (such as eCard Systems) are imported as non-revenue item sales and are included under Net Sales when synced to QuickBooks, creating confusion and potential double-counting of revenue:
The sale of the eCard Systems gift card is recorded in Clover as a non-revenue item (which is correct), but when synced to QuickBooks, it is being categorized as income because Accounting Sync does not allow these transactions to be mapped to a liability account.
Then, when the eCard Systems gift card is redeemed, the actual sale is also recognized, which results in what appears to be duplicated revenue.
The key issue: Clover’s Accounting Sync does not distinguish between Clover gift card activations and third-party gift card activations. Users cannot independently map 3rd party gift card activations to a liability account in QuickBooks. This severely limits the accuracy of automated bookkeeping and creates additional manual correction work for merchants and their bookkeepers.
Requested Enhancement:
- Allow third-party gift card activations to be mapped separately in Accounting Sync settings.
- Add 3rd party gift card activations as a distinct line item or tender type in the Accounting Sync Sales and Tender Type mapping menus.
- Ensure non-revenue item sales can be appropriately routed to a liability account if the merchant chooses.
Impact:
- Merchants using 3rd party gift cards face inaccurate revenue reporting in QuickBooks Online unless manual adjustments are made.
- Bookkeepers cannot reconcile Clover’s non-revenue logic with the Commerce Sync journal entries.
- Limits Clover’s usefulness for businesses looking to streamline accounting workflows using 3rd party gift cards and QBO.
